By using Novavia, you agree to the practices described in this policy and in our Terms of Service. If you do not agree, please do not use our services.

2.1 Information You Provide

We collect information you give us when you use the platform:

  • Account Information: Name, email address, and password
  • Professional Information: CV, work history, education, skills, certifications, and career preferences
  • AI Interactions: Your conversations with our coaching and CV tailoring features
  • Communication Data: Feedback and support inquiries you send us

2.2 Automatically Collected Information

We use privacy-respecting, cookieless analytics to understand how the platform is used in aggregate. No personal data or individual browsing profiles are created from analytics.

We use essential cookies necessary for the platform to function, such as authentication and your preferences. We do not use advertising cookies, tracking pixels, or third-party marketing trackers.

3. How We Use Your Information

We use your information to:

  • Provide the Services: Match you with job opportunities, tailor your CV, and power the career coaching features
  • Recruiter Visibility: Make your profile searchable by recruiters and employers (see Section 4)
  • Improve the Platform: Use your interactions (including AI conversations) to improve our algorithms and features
  • Communicate: Send service notifications and important updates about your account
  • Security: Detect and prevent fraud or misuse of the platform

4. Sharing Your Information

4.1 Recruiters and Employers

By using Novavia, you consent to your profile information being searchable and viewable by recruiters and employers. This is a core part of how the platform operates and is a condition of using the free tier. Users on a paid plan may adjust their visibility preferences.

We do not sell your personal data to third parties for unrelated marketing purposes. Recruiter access is limited to hiring-related activities.

4.2 Service Providers

We work with third-party providers for hosting, payment processing, and AI infrastructure. These providers process your data on our behalf and are bound by contractual obligations to protect it.

4.3 Legal Obligations

We may disclose your information when required by applicable law or valid legal process.

5. Data Security

We use appropriate technical measures to protect your data, including encrypted connections (HTTPS) for all data transmitted between your device and our servers, secure authentication, and access controls. We continuously work to maintain and improve the security of our systems.

  • Access: All your personal information is visible to you through your dashboard at any time
  • Correction: You can edit your profile information directly from your dashboard

We retain your personal information for as long as your account is active or as needed to provide the Services. When you request account deletion, we will delete or anonymise your data within 30 days, except where retention is required by applicable law.

Your data is hosted on servers located in the European Union. Some third-party service providers (such as AI model providers) may process data outside the EU. Where this occurs, we ensure appropriate safeguards are in place in compliance with applicable data protection laws.

9. Age Requirement

Novavia is intended for users who are at least 18 years old, or the minimum legal age in their jurisdiction. We do not knowingly collect personal information from individuals below this age. If we become aware of such a case, we will delete their data promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified via email or through the platform at least 30 days before taking effect. Continuing to use Novavia after the effective date means you accept the updated policy.
